Issue of Consumable Parts from Stores

 

0.      Introduction

This procedure provides instructions and guidelines regarding the issue of consumable parts from stores within DigiMAINT™.

 

1.      Requirements

Transport Canada

 

 

2.      Execution

Consumables may be issued for following reasons:

§      Issue to an Aircraft,

§      Issue to an unfitted assembly,

§      Issue out of Inventory, scrapping the part (Refer to 04-02-06 for the Issue of consumable parts out of inventory).

§      Issue to another location, splitting a batch for other bases, or

§      Issue to a Sales Order, when selling the part (Refer to 04-02-11 for the Issue of Consumables to a Sales Order).

 

When the part is in stock a picking slip to trace the part, with applicable data is printed, which has to be signed by the person who the part is issued to. A copy of this Pick Slip is attached to the applicable Work report and storekeepers file the original Pick Slip.

A Reorder Report is automatically generated and printed when the remaining Quantity on Hand for a certain Base equals or drops below the set Minimum Quantity on Hand for the particular part.

 

2.1 How to issue a consumable part to an aircraft?

 

Start at the "DigiMAINT™ Main Menu" window.

 

1.

Click on "Maint/Material Managemnt"

 

2.

Click on "Part Locator"

The "GPI by Part Number" window is displayed.

a.

Enter the applicable part number in the field "Part Number" in the top of the table.

 

b.

Click the Part Number link

 

 

-or-

 

c.

Enter the applicable keyword and/or description in the fields "Keyword / Description" in the top of the table.

 

d.

Click the Keyword link.

 

3.

Click on required Part Number.

The "Global Locations by Serial/Batch Number" window is displayed.

This window shows all available batches of the required part number and alternate part numbers. For each available batch of consumables the quantity and location for each base are shown.
The window also indicated either these parts are ordered.

If you click on a required part number that is not located in any store there will be no record on the "Global Locations by Serial/Batch Number" window.

4.

Click on the Part Number in the line from which to issue parts.

The "Consumable Inventory - Display" window is displayed.

5.

Click on "Issue Consumables".

 

6.

Click on "Issue to Aircraft".

The "Issue to Aircraft" window is displayed.

a.

When you are trying to issue a parts that is not located at the base you are assigned to, the remark "This Part is not located at your Base. Continue (Y/N)?" is displayed.

Select "Yes" to issue these parts from the indicated base or select "No" if not.

b.

When you are trying to issue a newer batch, where an older batch is available at this base, the remark "Confirm Issue of this new batch (Y/N) ?" is displayed.

Select "Yes" to issue these newer parts or select "No" if not.

7.

Click "SELECT" to proceed.

When both remarks are not confirmed the " Global Locations by Serial/Batch Number " window is displayed and proceed with step 4.

When both remarks are confirmed the "Issue to Aircraft” window is displayed.

a.

Date of Issue

Enter the date of issue (can be in the past but before receipt date) or click on the "?" button to display the pop-up window "Date of Issue", and   
select the correct date be clicking on the applicable date.

b.

Quantity

Enter the quantity of parts in the indicated unit of measure to be issued.
Note: the quantity to be issued cannot be more than the available quantity of this batch.

c.

Issued To.

The mechanic's name or ID who require the part to work. Enter mechanic's ID these Parts are issued to or click on the "?" button to display the pop-up window "Personnel by ID", and select the correct Personnel ID by clicking on the applicable one. If the record 'Integrated Job Costing' in System Control File is set to 'N', the "?" button will not appear.

d.

Aircraft Rego

Registration Number that these Parts are issued to. Click on the "?" button to display the "Aircraft Rego's by Type" pop-up window. Click on the rego to select the correct aircraft registration

e.

Job Control Number

To allow tracking of materials and costs per Job Control Number, enter the Job Control Number or click on the "?" button to display the "Open/UN-Released JCNs" pop-up window, and select the open JCN applicable to aircraft.

f.

Transaction.

The JCN Transaction that these Parts are issued to. Click on the "?" button to display the "Job Control Tasks by Task Number" pop-up window, and select the open JCN TRN applicable to aircraft. If leave the field blank, system will assign next Transaction number in the JCN. If the record 'Integrated Job Costing' in System Control File is set to 'N', this field will not appear and system will not change JCN TRN records from here.

8.

Click the "Issue Part"-button to issue these parts.

The " Global Locations by Serial/Batch Number " window is displayed and a picking slip is printed at the designated pick slip printer for the base the parts where issued from.

9.

Click the "Menu's Previous" link or click on "Navigate" and "previous" to exit the menu.

The "GPI by Part Number" window is displayed.

                     

2.2 How to issue a consumable part to an unfitted assembly?

 

Start at the "DigiMAINT™ Main Menu" window.

 

1.

Click on "Maint/Material Management"

 

2.

Click on "Part Locator"

The "GPI by Part Number" window is displayed.

a.

Enter the applicable part number in the field "Part Number" in the top of the table.

 

b.

Click the Part Number link

 

 

-or-

 

c.

Enter the applicable keyword and/or description in the fields "Keyword / Description" in the top of the table.

 

d.

Click the Keyword link.

 

3.

Click on required Part Number.

The "Global Locations by Serial/Batch Number" window is displayed.

This window shows all available batches of the required part number and alternate part numbers. For each available batch of consumables the quantity and location for each base are shown.

Click on the Part Number in the line from which to issue parts.

The "Consumable Inventory - Display" window is displayed.

5.

Click on "Issue Consumables".

 

6.

Click on "Issue to Unfitted Assy".

The ‘Unfitted Assemblies by Assembly Number’ window is displayed

7.

Click on the P/N issued to

The " Issue to Unfitted" window is displayed.

a.

Date of Issue

Enter the date of issue (can be in the past but before receipt date) or click on the "?" button to display the pop-up window "Date of Issue", and   
select the correct date be clicking on the applicable date.

b.

Quantity

Enter the quantity of parts in the indicated unit of measure to be issued.
Note: the quantity to be issued can not be more than the available quantity of this batch.

c.

Issued To.

The mechanic's name or ID who require the part to work. d.

Aircraft Rego.

It always shows “UNFITT”.

e.

Job Control Number

To allow tracking of materials and costs per Job Control Number, enter the Job Control Number or click on the "?" button to display the "Open/UN-Released JCNs" pop-up window, and select the open JCN applicable to aircraft.

f.

Transaction.

The JCN Transaction that these Parts are issued to. Click on the "?" button to display the "Job Control Tasks by Task Number" pop-up window, and select the open JCN TRN applicable to aircraft. If leave the field blank, system will assign next Transaction number in the JCN. If the record 'Integrated Job Costing' in System Control File is set to 'N', this field will not appear and system will not change JCN TRN records from here.

Click the "Issue Parts"-button to issue these parts.

Click the "Menu's Previous" link or click on "Navigate" and "previous" to exit the menu.
